    FPD report – where do the numbers come from

    I was recently emailed by a user of ivtools asking where the numbers come from for the PD report that is generated in Microsoft word. I wanted to give my response so others might be able to find it.

     
    –         primarily the total gifts received – I’m assuming it is based on YTD total on the donations tab – is that correct?

    yes the total gifts received is based on the YTD total.  The YTD total is updated every time you run the DTR sync with the most recent excel spreadsheet that you download from the portal. the Total Gifts Received should therefore be identical to the Gifts YTD on your paper DTR.

    -          Monthly over needed?  How is that number calculated?  What does it signify?

    The monthly over needed is kind of a weird number that I might remove in future versions of the form. It simply communicates the Income - Budget number divided by the number of months remaining in the financial year. The idea is this is what your estimated overages/underage will be for each month in the remaining financial year.  In other words you could say to a potential financial partner I need an addition all $400 from now until July to make meet my budget.

    Why does the total gifts YTD differ from my total gifts YTD on the portal?

    I don't know. I will take a look at this.  I ran my report and noticed it is higher than the portal by $50. The issues is with the ivtools application. Let me know what the difference is for you. That might help me when I try to fix this bug.

    My difference is a little more drastic - the FPD report says I've received 34196 where as the portal says I've received 31546.  Even if i add the amount received in the account Staff work at Hope College, which is 350 - there is still a big difference.  Your thoughts would be helpful.

    I will work on integrating this into the tool but here is what you can do in the meantime.

    In the contact view go to the following Menu:

    View - > Arrange By > Current View > Define View

    Then copy the IV basic view or any other table style contact view that contains all your contacts

    Select this new view and click “Modify”

    Now select “Filter” Add the following filter "Donations Total Giving YTD Is more than 0"

    Save this view by selecting “OK” then “Apply this view”

    Now remove all the columns except the name and the “Donations Total Giving YTD”

    You can now sort this to see any discrepancies between outlook and the DTR report total giving YTD for each donor. (you can do this in outlook or select all in the table view and past it into an excel file).

    Likely there are duplicates in outlook.

    Remove these duplicates.

    (if, as in the case of a married couple, you may have one a couple with two different donor ids you can add the various donor ID’s in the contacts PD tab.)

    In Version 1.4 the donor view can be used to discover duplicates. Simply go to ivtools -> Add Contact views and pres Create IV Donor View.

     This view will help you easily discover duplicates.
